How Perfect Fusions collects, uses, shares, stores and protects personal information across its services and the Love Without Labels™ community.

This Privacy Notice applies to Perfect Fusions website visitors, enquiries, applicants, clients, event participants and members of the Love Without Labels™ community.

Perfect Fusions Ltd is responsible for deciding how and why personal information is processed and acts as the data controller for the processing described in this notice.

Section 01

Information We Collect

Contact Information

Name, email address, telephone number, address, location and communication preferences.

Application Information

Date of birth, relationship status, preferences, interests, background and application responses.

Profile Information

Photographs, biography, community profile, values, preferences and information you choose to share.

Verification Information

Identity documents, verification selfies, date of birth and the outcome and date of verification.

Service Information

Consultation notes, bookings, communications, feedback, introductions and service history.

Technical Information

Device, browser, IP address, website usage, cookies and form-submission information.

Payment Information

Purchase, transaction and payment-status information. Full card details are generally processed by the payment provider rather than Perfect Fusions.

Safety Information

Reports, complaints, evidence, moderation records and information relating to safety or safeguarding.

Section 02

Special Category Information

Matchmaking, relationship consultancy and community applications may involve particularly sensitive information. Depending on what you provide, this may include information concerning:

  • Racial or ethnic origin.
  • Religious or philosophical beliefs.
  • Physical or mental health.
  • Sex life or sexual orientation.
  • Other sensitive relationship or personal information.

We will only collect and process special category personal information where it is necessary for a clearly identified purpose and an appropriate condition under UK data-protection law applies.

Where we rely on explicit consent, you may withdraw that consent by contacting us. Withdrawal does not affect processing that was lawful before consent was withdrawn. It may mean that we cannot continue providing a service that requires the relevant information.

How We Collect Information

We may collect information:

  • Directly from you through applications, forms and surveys.
  • During calls, consultations and verification appointments.
  • When you create or use a community profile.
  • When you communicate with us by email, telephone or message.
  • When you book or attend an event.
  • Through website cookies and similar technologies.
  • From a referring partner, where you have agreed to the referral.
  • From a service provider acting on our behalf.

Why We Use Personal Information

We may use personal information to:

  • Respond to enquiries and manage applications.
  • Provide matchmaking, consultancy and community services.
  • Confirm that applicants meet the minimum age of 18.
  • Verify identity and prevent impersonation.
  • Review suitability for membership or services.
  • Create and manage member profiles.
  • Arrange appointments, calls, events and introductions.
  • Communicate service and community information.
  • Process payments and maintain transaction records.
  • Prevent fraud, exploitation and misuse.
  • Support safeguarding and community safety.
  • Investigate complaints or policy violations.
  • Maintain and improve our systems and services.
  • Comply with legal and regulatory obligations.
  • Send marketing where we have permission or another lawful basis.
Section 05

Lawful Bases for Processing

Depending on the information and purpose, we may process personal information because:

  • It is necessary to take steps at your request or fulfil a contract with you.
  • It is necessary to comply with a legal obligation.
  • It is necessary for our legitimate interests, such as operating and protecting our services, preventing fraud, ensuring member safety and responding to enquiries.
  • You have provided consent where consent is required.

Where we process special category information, we will also identify an appropriate additional condition under applicable UK data-protection law.

Section 06

Identity and Age-Verification Process

Love Without Labels™ applications are submitted through an online application and customer-management system. Applicants may upload an identity document and selfie as part of the application and verification process.

Verification is reviewed manually by Giovanna in connection with a booked verification call. The process is not described as automated or biometric verification.

Identity and verification information is used to:

  • Confirm that an applicant is aged 18 or over.
  • Confirm that the applicant matches the submitted identity.
  • Prevent impersonation and fraudulent accounts.
  • Protect the safety and integrity of the community.

Identity documents and verification selfies are not transferred into the private member community. The community platform receives only the information reasonably necessary to create and operate an approved member’s community account and profile.

Section 07

Sharing Personal Information

We may share limited personal information with contracted service providers where necessary to operate our business and services, including:

  • Application and customer-management service providers used for forms, applications, bookings, communications and customer records.
  • Community-platform service providers used to provide approved members with private community access and participation.
  • Payment providers used to process applicable payments.
  • Website, hosting and technical service providers.
  • Professional advisers where reasonably necessary.
  • Authorities where disclosure is permitted or required by law.

Service providers are expected to process information only for the relevant service and subject to appropriate contractual and data-protection requirements.

We do not sell personal information or member profiles.

Section 08

Private Community Platform Information

After an applicant has been approved, limited member information may be transferred to the private community platform to establish and operate their community access.

This should be limited to information such as:

  • Name.
  • Email address.
  • Approved community profile information.
  • Profile photograph where applicable.
  • Information the member chooses to publish in the community.

Identity documents and verification selfies are not transferred to the community platform and are not made visible to community members.

International Data Transfers

Some technology and service providers may process or store personal information outside the United Kingdom.

Where UK data-protection law requires safeguards for an international transfer, we will seek to use an approved transfer mechanism or another legally recognised safeguard.

Section 10

Data Security

We take reasonable organisational and technical measures designed to protect personal information from unauthorised access, alteration, disclosure, loss or misuse.

Access to identity and age-verification information is limited to authorised individuals who require it for verification, safeguarding, fraud prevention, legal or compliance purposes, and relevant contracted providers where necessary.

No online service or storage system can guarantee absolute security. Applicants and members should protect their account credentials and notify us of suspected unauthorised use.

Section 11

Data Retention

Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, including operational, contractual, legal, fraud-prevention, dispute and safeguarding purposes.

Different categories of information may have different retention periods.

Identity documents and selfies

Identity documents and verification selfies will be manually deleted from the application and customer-management system when they are no longer reasonably necessary to complete verification or address a justified legal, safeguarding, fraud-prevention or dispute-related need.

A limited record may be retained confirming that identity or age verification was completed, including the verification date, outcome and relevant administrative notes.

Rejected applications

Information relating to rejected or unsuccessful applications will not be retained indefinitely. It will be deleted when no longer reasonably required unless there is a justified legal, fraud-prevention, dispute or safeguarding reason for retaining particular information.

Section 12

Marketing Communications

Marketing permission is separate from accepting service or community terms. Where required, you will be asked to opt in separately.

You may unsubscribe using the link in a marketing email or by contacting us. You may still receive essential service, account, safety or administrative communications.

Section 13

Automated Decision-Making

The Love Without Labels™ identity and application process includes human review. Membership approval and identity verification are not decisions made solely by automated processing.

Section 14

Children’s Information

Love Without Labels™ is not intended for anyone under the age of 18. Individuals under 18 must not submit an application or upload identity information.

If we reasonably believe that information has been submitted by or about an under-18 applicant contrary to our requirements, access will not be granted and appropriate steps will be taken to remove the information, subject to any justified safeguarding or legal need to preserve it.

Complaints

If you have concerns about how we use your personal information, please contact us first so we have the opportunity to address your concern.
